Thailand: Internship Opportunity: Emergency Section

The Emergency section of UNICEF East Asia and Pacific Regional Office is seeking a qualified individual to fill in the below role.

Background:
As part of knowledge management in humanitarian action initiatives for the East Asia and Pacific (EAP) region, EAPRO Emergency Section has recently launched its team site under Regional umbrella with support and coordination from ICT section. The EAPRO Emergency team site is intended to serve as a platform for internal information sharing and knowledge exchange e.g. key practices, lessons to be learned, case studies, tools, and guidance for country offices in the region.

Despite the well set-up and developed team site for EAPRO Emergency, during a recent Regional Humanitarian Action Workshop on Knowledge Management and Accountability in Bangkok on 14 – 18 March 2016, discussions pointed out that there are several areas that could be strengthened and may be further elaborated and populated. The Emergency team will need additional support from a full-time dedicated person with technical knowledge and experience to improve creative design, collect, analyse and train a wider audience contrite ensure ongoing updates on the team site with inputs from 14 country offices in the EAP region and working in tandem and in close collaboration with 4 regional office program emergency officers.

The intern is expected to develop further/advance design of the layout and features of current team site; develop a modus operandi that nurtures updating content building on deepened collaboration and coordination with EAP Regional Office and Country Office colleagues, ensure an establishment of systematic outline, structure of tags that can be used as the drivers for information classification and enhance access-controlled search of information/ documents shared from this site. In addition, the intern will support identifying possible links with other online resources e.g. country office’ team sites, humanitarian related stakeholders. Further, the intern will draft guidance for minimum standards and ensure quality assurance of to be uploaded information and provide overall technical aspects of the platform. This role will be carried out in coordination with UNICEF ICT team.

Work Assignment:
Under supervision of the Regional Emergency Advisor, the designated Emergency Officer and in close collaboration with other members of Regional Emergency Section, specific activities that the intern will undertake include:

I. Team Site advanced design and consolidation
a) Review and make proposals how to improve design, including layout and features of current team site so as to further mature this platform that serve facilitate Knowledge Management and Accountability in Humanitarian Action functions
b) Support regular collecting, analysing, dissemination of relevant documents including uploading documents and maintenance of Emergency EAPRO team site
c) Nurture culture of quality contributions of stakeholders by providing assistance in preparation of new content and advocate guidance and good practises in Knowledge Management
d) Identify opportunities/gaps in and raise awareness of guidelines and notes for quality assurance
e) Review and identify possible links with other online platform e.g. country offices’ team site and humanitarian related stakeholders and embedded to EAPRO team site
f) Establish a systematic outline/structure for Tags - information organization and management; This may also include editing, organizing photos and video footage
g) Solve/ trouble-shoot of the team site functions as required
h) Provide support in developing interaction with users (emergency focal points) and engaging them on the team site
i) Perform other related duties as assigned by Regional Emergency Advisor or designated officer.

II. Team Site information management monitoring and reporting
a) Monitor team site, troubleshoot challenges and ensure that the team site is well-functioning.
b) Monitor and report its operations and procedures, e.g. content generation, publishing etc. and provide suggestions for improvement.

End Product:

  1. Layout and features of the EAPRO Emergency team site improved and consolidated
  2. Relevant documents identified and uploaded to EAPRO Emergency team site
  3. Other relevant online resources are identified and embedded to the team site
  4. Outline/structure for Tags
  5. Inventory of future opportunities/gaps and increased awareness of the team site
  6. Support or liaise with relevant department on overall technical aspects of the team site
  7. Report of team site operations and lessons sharing or suggestion for improvement

Duration of Assignment and Work Place: 10 weeks during 13 June – 19 August 2016

Qualifications:

  • Currently enrolled in a university degree, preferable in Digital Media, Graphic Design/Computer Science or Information Communication Technology or related field. (Applicants enrolled in a undergraduate school must have completed at least two years of full-time studies at a university or equivalent institution towards the completion of an undergraduate degree)
  • Experience and knowledge of Office Team Site and electronic records management in a Team Site programme
  • Excellent written and spoken English
  • Ability to prioritize, multi-tasks and work independently
  • Demonstrated cultural, gender, religion, race, nationality and age sensitivity and adaptability
  • Ability to work as a part of a team, sharing information and coordinating efforts within the team and the office community
  • Understanding of United Nations or other international organizations in particular on emergency preparedness and response related is an asset.

Conditions of Intern:
a) Expenses: Intern does not receive any financial assistance. Costs and arrangements for travel, visa, accommodation and living expenses are the responsibilities of the Intern.
b) Visa: Intern is responsible for obtaining the necessary entry visa and arranging their travel to Bangkok. UNICEF/EAPRO will assist only in issuing documents required in visa processing.
c) Health/Medical insurance: Intern is required to hold valid health/accident insurance. UNICEF accepts no responsibilities for costs arising from accidents and/or illness incurred during the internship whether on or off UNICEF premises.
d) This internship may be undertaken remotely, if travel to the region is not possible.
e) Employment: There is no expectancy of employment at the end of the internship.
